My Way Travel/Terms & Conditions

Booking Terms

Terms & Conditions

These Terms & Conditions explain how bookings, payments, cancellations, changes, and other travel arrangements are handled.

At My Way Travel, we take pride in creating well-planned and personalized travel experiences. These Terms & Conditions explain how bookings, payments, cancellations, changes, and other travel arrangements are handled.

By making a booking with My Way Travel, you confirm that you have read and accepted the following Terms & Conditions.

1. Booking and Payment

A 30% deposit is required to confirm your booking.

The remaining 70% balance is due 20 days before arrival.

For bookings made within 20 days of the arrival date, full payment may be required at the time of booking.

A booking is confirmed once the required payment has been received and we have provided written confirmation.

Some hotels, cruises, airlines, or other travel services may require different payment terms. If different conditions apply, we will advise you before the booking is confirmed.

All payments must be made in accordance with the payment instructions provided by My Way Travel.

2. Cancellation Policy

We understand that travel plans can change. If you need to cancel your trip, please let us know as soon as possible.

Cancellation requests must be submitted in writing by email. The cancellation date will be the date on which we receive your written request.

Unless different conditions apply to a particular service, our standard cancellation policy is based on the total booking value:

Cancellation received Cancellation fee
More than 30 days before arrival 10% of total booking value
15–30 days before arrival 30% of total booking value
7–14 days before arrival 50% of total booking value
Less than 7 days before arrival 100% of total booking value
No-show 100% of total booking value

Any refund will be calculated based on the applicable cancellation fee and the amount already paid.

For example, if the full booking amount has already been paid and the booking is cancelled more than 30 days before arrival, the applicable 10% cancellation fee will be deducted and the remaining amount will be refunded.

Supplier Cancellation Policies

Certain travel services may have cancellation conditions that differ from our standard policy. This is particularly common with airline tickets, cruises, hotels, non-refundable rates, special events, and promotional fares.

Where a supplier has a different cancellation or refund policy, the supplier's specific terms will apply to that service. We will advise you of any important conditions before or at the time of booking.

Bookings made during peak seasons, public holidays, festivals, or special events may also be subject to different cancellation conditions.

3. Changes to Your Booking

We are happy to help with reasonable changes to your itinerary whenever possible.

Requests to change travel dates, hotels, tours, transportation, flights, or other services are subject to availability and may result in additional costs.
Any additional costs caused by a change requested by the traveler will be advised before the change is confirmed.

If a change reduces the value of your booking, any refund will depend on the cancellation and refund conditions of the services affected.

Once airline tickets, cruise bookings, hotel reservations, or other non-refundable services have been issued or confirmed, changes may be subject to the supplier's own terms and fees.

4. Flights

Flight bookings are subject to the fare rules and conditions of the airline.

Depending on the fare purchased, flights may be non-refundable or may involve fees for cancellation, changes, rebooking, or other amendments.

Once a ticket has been issued, the airline's fare conditions will apply.

Travelers are responsible for checking that all passenger information, including names and passport details, is correct before tickets are issued. My Way Travel cannot be responsible for costs resulting from incorrect information provided by the traveler.

Flight schedules may be changed by airlines. If an airline changes or cancels a flight, we will assist you with the available options, subject to the airline's policies.

5. Hotels

Hotel reservations are subject to the terms and conditions of the individual hotel and room rate.

Some rates are flexible and refundable, while others may be partially refundable or completely non-refundable. The applicable conditions will be provided with your booking details.

Room availability, room type, upgrades, early check-in, late check-out, special requests, and connecting rooms are subject to availability and cannot always be guaranteed.

Personal expenses at the hotel, including minibar, room service, laundry, meals, drinks, and other charges not included in your itinerary, are the responsibility of the traveler.

6. Cruises

Cruise bookings are subject to the terms and cancellation policies of the cruise company.

Cruise schedules, routes, ports of call, activities, and departure times may occasionally change due to weather, safety concerns, operational requirements, or other circumstances.

If a cruise company has specific payment or cancellation conditions, those conditions will apply to the cruise portion of your booking.

My Way Travel will assist with communication and alternative arrangements where possible, but we cannot guarantee that changes made by the cruise operator will result in a refund.

7. Visas and Travel Documents

Travelers are responsible for having a valid passport, visa, entry permit, and any other travel documents required for their trip.

Visa and entry requirements can vary depending on nationality and may change without notice.

We can provide general information and guidance regarding visa requirements, but the final responsibility for obtaining the correct visa or travel authorization rests with the traveler.
My Way Travel cannot accept responsibility for denied entry, missed services, additional costs, or delays caused by incorrect, incomplete, or missing travel documents.

8. Travel Insurance

We strongly recommend that all travelers purchase comprehensive travel insurance before departure.

Travel insurance should ideally provide coverage for trip cancellation, medical expenses, emergency evacuation, baggage loss or delay, flight disruption, and other unexpected travel-related costs.

Travel insurance is not included unless specifically stated in your itinerary.

Travelers are responsible for arranging their own insurance and checking that the policy provides adequate coverage for their trip.

9. Health and Special Requirements

Please let us know at the time of booking about any dietary requirements, allergies, mobility limitations, or other special requests that may affect your travel arrangements.

We will do our best to accommodate reasonable requests, but some services depend on local facilities and availability.

Travelers are responsible for ensuring that they are fit and able to participate safely in the activities included in their itinerary.

10. Tours, Activities and Transportation

Our private tours and tailor-made itineraries are arranged according to the itinerary agreed with you.

The order of sightseeing, activities, meals, and transportation may occasionally be adjusted due to weather, traffic, local conditions, opening hours, or other practical considerations.

We will always try to make reasonable adjustments while keeping the overall experience and agreed services as close as possible to the original itinerary.

Optional activities or personal expenses that are not included in your confirmed itinerary are payable by the traveler.

11. Changes Made by My Way Travel

We make every effort to operate your trip as confirmed. However, circumstances sometimes arise that require a change to the itinerary or services.

These may include weather conditions, natural disasters, changes in transportation schedules, hotel or cruise operational changes, government regulations, or other circumstances beyond our reasonable control.

If a significant change becomes necessary, we will contact you as soon as reasonably possible and, where available, offer a suitable alternative.

If an included service becomes unavailable, we will make reasonable efforts to arrange a comparable alternative.

12. Force Majeure

My Way Travel cannot be held responsible for delays, cancellations, changes, losses, or additional costs resulting from circumstances beyond our reasonable control.

These circumstances may include natural disasters, severe weather, pandemics, government actions, strikes, political unrest, transportation disruptions, border closures, security situations, or other unforeseen events.

In such circumstances, we will do our best to assist you and work with our suppliers to find the best available solution.
Any refunds or additional costs will be subject to the policies of the relevant suppliers and service providers.

13. Prices and Inclusions

Prices are based on the services and information included in your quotation at the time it is prepared.

Unless otherwise stated, your quotation will specify what is included and excluded from the tour price.

Prices may change before a booking is confirmed due to changes in hotel rates, airline fares, cruise rates, government taxes, fuel surcharges, exchange rates, or supplier pricing.

Once your booking has been confirmed and the required deposit has been received, the agreed price will normally remain unchanged unless you request changes or additional services.

The inclusions and exclusions shown on your final itinerary or booking confirmation will take precedence over general information on our website.

14. Personal Expenses

Unless specifically included in your itinerary, personal expenses are not included in the tour price.

These may include:

  • International or domestic flights
  • Visa fees
  • Travel insurance
  • Personal meals and drinks
  • Tips and gratuities
  • Laundry
  • Minibar and room service
  • Shopping
  • Optional activities
  • Excess baggage charges
  • Personal transportation
  • Other personal expenses

Your individual quotation and booking confirmation will clearly state what is included in your trip.

15. Local Service Providers

We work with carefully selected local partners, including hotels, cruise operators, airlines, transportation companies, restaurants, guides, and activity providers.

Each supplier is responsible for providing its own services.

If a problem occurs during your trip, please contact My Way Travel as soon as possible. We will do our best to assist and work with the relevant supplier to resolve the issue.

16. Complaints

If you are unhappy with any part of your travel arrangements, please contact us as soon as possible while you are still traveling.

Giving us the opportunity to address a problem during your trip allows us and our local partners the best chance of finding a solution.

If the matter cannot be resolved during the trip, any formal complaint should be submitted to us in writing as soon as reasonably possible after your return, with details of the issue and any supporting documents.

17. Traveler Responsibility

Travelers are expected to follow local laws, safety requirements, and reasonable instructions from guides, drivers, hotels, cruise operators, airlines, and other service providers.

Travelers are also responsible for taking reasonable care of their personal belongings and ensuring that they arrive at the agreed meeting points and departure locations on time.

My Way Travel is not responsible for services missed because a traveler is late, fails to attend, or does not follow the agreed travel arrangements.

18. Personal Information

We collect and use personal information only as necessary to arrange and manage your travel services.
This may include information required by airlines, hotels, cruise operators, immigration authorities, transportation providers, or other suppliers involved in your trip.

We take reasonable steps to protect the personal information provided to us and use it only for legitimate business and travel-related purposes.

19. Photography and Reviews

We may occasionally ask travelers for permission to use photographs, testimonials, or reviews from their trip for marketing purposes.

We will not use identifiable photographs of our travelers for promotional purposes without appropriate permission.

20. Responsibility and Liability

We take reasonable care when selecting and arranging the travel services included in your booking.

However, many services are provided by independent suppliers, including airlines, hotels, cruise companies, transportation providers, restaurants, and activity operators. We cannot be responsible for circumstances caused by a supplier or events outside our reasonable control.

Nothing in these Terms & Conditions is intended to exclude or limit any rights or protections that cannot legally be excluded or limited under applicable law.

21. Acceptance of These Terms

By making a booking with My Way Travel, you confirm that you have read and accepted these Terms & Conditions.

These Terms & Conditions should be read together with your quotation, itinerary, booking confirmation, payment details, and any specific conditions provided for your trip.

If a particular hotel, cruise, airline, or other supplier has specific terms that apply to your booking, those terms will apply to the relevant service.

If you have any questions about these Terms & Conditions, please contact us before making your payment.
